Terms and Conditions

Payments

The club is a not for profit organization, and we are not charging a membership fee for the club.
We will mark up trips and events slightly to cover our own internal costs for postage, website,
publicity, and any other fees. You help defer these costs by participating in the club.

Please make all payments by check to Diamond Dogs Ski Club or "DDSC".
Payments can be mailed to 74 West 69th Street, Apt 5E, New York, NY 10023

We do not allow payments from Paypal. We do this for your protection as well as our own.
Paypal does not allow you the same consumer protections as a credit card or checking account.
It is largely unregulated and completely overrun with fraud. As a non-profit, we cannot incur the
loss of say - $1500 for a ski trip - even once. For more information, visit www.paypalsucks.com

Deposits

Trip space will not be confirmed until deposit payment has been made. There are no exceptions to this policy.

Deposits are generally refundable up to 60 days before trip departure. 

Refunds / Changes

Flight ticketing is done approximately 60 days before trip departure. If you cancel a trip after flight ticketing has taken place, cancellation penalties may occur. Every effort will be made to recover your maximum refund for the trip by using waitlist or offering discounted trips to other members. These penalties may equal the full cost of the trip for cancellations made within 60 days of departure.

Flight changes made after ticketing may incur change penalties of between $100-150 per change. This charge is assessed from the airline and passed on to you directly.

Cancelled Trips: If for any reason a trip is cancelled, every effort will be made
to return your deposit in full within a reasonable time period.

Q: After signing up for a trip, when can I expect to get trip info (directions, lift ticket sometimes, air ticket)?
A: The club gets all materials from the tour operator or resort 3 to 4 weeks prior to trip. Information is given out about 2-3 weeks prior at a "Trip" Happy Hour.

Q: If a trip runs out, can it be expanded and is there a waiting list?
A: The sooner a trip fills out the sooner we can possibly get more space.  We encourage people to register early for this reason, so that if demand has been met we can increase the supply. In addition, a waiting list will be started.

Limit of Liability

Skiing, snowboarding, sports activities, and travel to resort destinations during inclement weather are inherently dangerous activities. You agree to hold the members and officers of the Diamond Dogs Ski Club (DDSC) harmless in the event of any personal injury resulting in participation of any DDSC events regardless of any implied or actual negligence by the DDSC members or officers.

Any illegal activity (whether misdemeanor or felony) pursued by members on a trip or group activity will result in ejection from the trip with no refund, and the contact of local authorities if necessary.  Examples include (but are not limited to) assault, reckless endangerment, and illegal drug use. There is a zero tolerance policy and any member found engaging in illegal activity will be banned from the club.

Copyright Release

When engaging in club activities, your photograph or video may be taken by other club members or officers. This is a fact of life when participating in activities with other people. It is not reasonable to disallow photos and videos from our club activities. 

By joining the club, you release all rights to any images or video footage taken by other DDSC members and officers.

The club also has a site on Facebook.com and compiles videos for season preview and and of season review. Your image may
appear on any one of these or other media types unless you notify the club that you do not want your image displayed. These requests will be honored if they are reasonable and do not cause harm or damages to other club members.

By joining the club, You agree to hold the club harmless of any type of damages that may arise from the display of your image in any form of media regardless of of any implied or actual negligence by the DDSC members or officers.

Q: Can I bring a non skier on a trip? 
A: For most trips, ticket portions may be deducted from the packages.

Q: Can beginners go on all of the trips or just certain ones?
A: All trips are open to everyone and in trip selection are resorts are reviewed to ensure that there is something for everyone.

Q: What will I need on a ski trip?

Basic clothes for the entire time you're away (pants/underwear/sweaters)
Waterproof ski jacket  
Waterproof pants
or Jumpsuit (jacket and pant together)
Gloves
Goggles
SPF Lotion

You can rent equipment at almost any mountain for skiing and snowboarding.

Member Sponsored Events

From time to time, member sponsored events will be offered to  the club.  These events are not mandatory and are available based on the discretion of the Sponsor.  The club does not endorse or profit from these events, but acts as a conduit to communicate these events to our members. The club is not responsible for un-monitored activity or any mishap regarding these events.

Children and Teenagers
The minimum age to be a member of the Diamond Dogs Ski Club is 21 years old.  The minimum age for DDSC trips is 18 years old. Some events involving adult activity may require a minimum age of 21.

Teenagers between age 13-17 may attend overnight trips if they are accompanied by a parent or legal guardian.
No children under the age of 13 will be allowed to attend overnight trips.

Children of any age may attend bus trips and single day trips that are not overnight.

Cars
On certain trips car rentals are procured. Everyone who wishes to be a driver must give a rental company their credit card number. All main drivers will be paid prior to the trip for the car in the event that prepaid car vouchers cannot be purchased . "DDSC" will pay any additional charges for rentals cars at the end of the trip in cash or check.

Air Tickets & Mileage
Trip attendees can sometimes make their own travel arrangements. However, in the event that club air has already been booked with an airline or tour operator, the club air must be purchased unless there is no more space available. When making arrangements, it is highly recommended that you arrive at the same time as the group. If you cannot, then you are fully responsible for making your own transportation for the outbound and return portions of the trip. Frequent flier miles are owned by the name that is stated on the ticket.

Q:What if I want to leave/depart from a certain airport or at a different time?
A: Dependent upon availability and time, this option is always available. But if your arrival time or departure differs from the group’s times, it will be up to you to facilitate your own airport transportation to/from the airport at your own expense.

Q: What if I miss my flight?
A: It is to you to coordinate your flight plans with the airline. It will also be up to you to facilitate your own transportation from the airport to the resort as well.

Lodging
It is the club's responsibility to provide each person a single person bed. This includes a loft situation, a bedroom with a single bed, twin beds or pullouts. Members may request to room with someone. In the event that members do not, they will then be paired up with someone of the same gender. Couples will be put in the same room with one bed, if possible. Sleeping arrangements are not negotiable. The club allocates beds in conjunction with fulfilling its responsibility. People may request to be in the same condominium but cannot demand which rooms they wish to occupy. If condo members agree to change their sleeping arrangements, they may do so. "DDSC" assumes no responsibility for any ensuing dissatisfaction. Bedding coordination is done 5-6 weeks prior to the trip. In the event of staying at a condominium, the bedding coordination may need to be changed. Most management companies will not guarantee bedding configurations even though a specific bedding configuration request has been placed. A management company is only required to deliver on the type of condominium that was paid for. (e.g. We request a 2 BR w/loft that is configured 1 queen, 2 twins and 2 twins and they can give us a condominium in the configuration of 1 queen, 1 queen and 2 twins.) When all single beds are taken, we will ask for volunteers to use sofa sleepers. People who stay on the sofa sleepers will receive a 25% discount off of the accommodations portion of the package.

"DDSC" does its best in to guarantee configuration prior to the trip. However, the final product is not always within our control.

Q: Can I request a roommate?
A: Yes, prior to final trip info going out, you will be sent a list of all people attending. If at all possible, we will put you with someone that you have requested.

Q: Can I request my own room?
A:  No one may request their own room UNLESS a single’s supplement is paid for. Dependent upon the trip will depend upon if there is availability

Q: What if I didn't like rooming with a certain person from a previous trip? A: We try to rotate people, unless requested, with others so that they may get a chance to get better acquainted with other members. E-mail any requests.

Lodging Deposits

A credit card is required at a hotel or condominium as a security against damages and telephone usage. Damages, telephone and room service charges will not be paid by "DDSC".
